10 Questions to Ask Before Hiring a Commercial Cleaning Company

Most commercial cleaning pitches sound similar: professional, reliable, detail-oriented. The differences show up in the answers to specific questions — the ones a sales rep doesn't volunteer unless you ask directly. Here are ten worth asking before you sign anything.

1. How much liability insurance do you actually carry?

'We're insured' isn't an answer. Ask for the coverage amount — commercial liability, auto, and workers' compensation — and ask to see a certificate of insurance naming your facility. A vendor working in your building without adequate coverage is a risk you're taking on, not them.

2. Will the same team clean our facility every time, or does staff rotate?

This is probably the single biggest predictor of consistency. Rotating staff means re-learning your facility, your priorities, and your access requirements every few weeks. A dedicated team means the opposite.

3. What happens when something gets missed?

Ask specifically: who do you contact, how fast do they respond, and what's the actual fix process? Vague answers here usually mean a vague process in practice.

4. Can we get fixed, predictable pricing — or does the invoice change month to month?

Value-based, fixed pricing for routine work protects your budget. If a vendor can't commit to a stable number, find out why before you're the one absorbing the surprise.

5. What's your process for keeping routine tasks from getting skipped?

This is where you find out whether a vendor has any structure at all, or whether quality depends entirely on whoever's on shift that day remembering what to do.

6. Are your staff background-checked?

Especially relevant for facilities with sensitive access — medical offices, law firms, biotech and behavioral health environments. Ask what the screening process actually covers.

7. How long is the contract, and what does it take to get out of it?

A vendor confident in their own service shouldn't need to lock you into a long commitment with painful exit terms. Be wary of anything that makes switching harder than it should be.

8. Do you have experience with facilities like ours specifically?

Medical offices, law firms, industrial facilities, and multi-tenant buildings all have different rhythms and requirements. A vendor's generic office-cleaning experience doesn't automatically transfer.

9. Who do we actually talk to if there's a problem — and how fast do they respond?

Get a real name and a real number, not 'our support team.' Ask what happens after hours, and ask what 'urgent' actually means to them in practice.

10. Can we try this before we commit long-term?

A vendor who's confident in their service should be comfortable proving it. If a trial period isn't on the table at all, that's worth noting.
